This Refund and Cancellation Policy explains the circumstances in which cancellations, refunds and payment adjustments may be requested in relation to our laboratory testing services.
 

This policy should be read alongside our Terms of Use, applicable Service Level Agreement (SLA), and any specific terms agreed at the time of booking or service provision.
 

2. Cancellation Requests
 

Requests to cancel a test or service must be submitted in writing to our team as soon as possible.
 

Cancellation requests should include:
 

  • The patient's or client's name.

  • The relevant test or service details.

  • The booking or laboratory reference number, where applicable.

  • The reason for cancellation.

3. Refund Eligibility
 

Refund eligibility depends on the stage of the testing process and whether any laboratory work, sample processing, third-party services or other costs have already been incurred.
 

3.1 Before Sample Collection or Processing
 

Where a cancellation request is received before sample collection, laboratory processing or any associated service has commenced, a full refund may be available, subject to the applicable booking terms and any permitted administrative charges.
 

3.2 After Sample Collection or Laboratory Processing

Once a sample has been collected, received, processed or submitted for testing, refunds may not be available where the relevant service has already commenced or costs have been incurred.
 

Each request will be reviewed individually, taking into account the nature of the service, the work completed and applicable legal requirements.
 

3.3 Non-Refundable Services
 

Certain services may be non-refundable once performed or commenced, including:
 

  • Laboratory testing and analytical work already undertaken.

  • Third-party or referral laboratory services already commissioned.

  • Special handling, transportation or processing costs already incurred.

  • Services specifically arranged or provided at the client's request.
     

This does not affect any statutory rights that cannot legally be excluded.
 

4. Cancellations by Harley Street Pathology Services
 

If HSPS is unable to provide a service for reasons within our control, we will inform the relevant client or patient as soon as reasonably practicable.

Where a service cannot be delivered and no suitable alternative is agreed, a refund of the payment received for the undelivered service will be considered.
 

Where appropriate, clients may be offered the option to reschedule the service or arrange an alternative testing solution.
 

5. Incorrect Charges and Billing Disputes
 

If you believe that you have been charged incorrectly, please contact us with the relevant invoice or payment details.
 

We will investigate the matter and, where an incorrect charge is confirmed, arrange an appropriate correction or refund.
 

6. Refund Processing
 

Approved refunds will normally be returned using the original payment method, unless otherwise agreed or required by law.
 

Refunds will be processed within 14 days of approval, where applicable. The time taken for funds to appear in your account may depend on your bank or payment provider.
